This Privacy Policy describes how Roman Strakhov ("developer," "we," "us," or "our") collects, uses, stores, and discloses your information in connection with your use of the Sitex mobile application and related services (collectively, the "Service").
Sitex is a B2B Software-as-a-Service (SaaS) platform designed for electrical contractors, construction teams, and project managers. By accessing or using the Service, you signify that you have read, understood, and agree to our collection, storage, use, and disclosure of your personal information as described in this Privacy Policy.
1. Information We Collect
1.1 Information You Provide to Us
- Account Information: When you create an account, we collect your name and either your email address and password, or your phone number (verified via SMS code). You may optionally add the other method later for account recovery.
- Profile Information: You may optionally provide a profile photo by taking a selfie with your device camera or choosing an image from your photo library.
- Company Information: We collect the company name and invite code associated with your organization for the purpose of team management and access control.
- Professional Certifications: You may optionally provide your SST (safety certification) card number, issue date, and expiry date for compliance tracking within your organization.
- User-Generated Content: We collect content you create, upload, or share through the Service, including:
- Photographs of job sites and completed work
- Blueprints, schematics, and PDF documents
- Annotations and drawings on blueprints
- Chat messages and communications in object (project) chats and direct messages
- Voice messages recorded within the chat feature
- Video recordings with audio for job site documentation
- Material lists, catalog items, and material orders
- Task assignments and project data
- Daily Reports with text notes, media attachments, and digital signatures
- Unit (apartment/room) inspection notes and media attachments
- Time Card records including clock in/out timestamps, break periods, and duration data
- Excel spreadsheets and CSV reports generated from material orders and Time Cards
- Reports and exported data
- Support Requests: If you submit a support ticket through the app, we collect your name, email address, company name, and the message content to respond to your inquiry.
1.2 Information Collected Automatically
- Device Information: We may collect device type, operating system version, and unique device identifiers for crash reporting and service improvement.
- Usage Data: We collect information about how you interact with the Service, including access times, features used, and general app interaction patterns.
- Location Data: With your permission, we collect your device's GPS coordinates when you upload photos through the Service. Location data (latitude, longitude, approximate address) is embedded as a visual stamp on the uploaded image for job site documentation purposes. Location data is also associated with Time Card clock-in events. We do not continuously track your location in the background.
- Push Notification Tokens: When you allow push notifications, we collect your device token to deliver real-time alerts about messages, tasks, and other events.
2. Device Permissions
To provide specific features, Sitex may request your explicit permission to access certain device capabilities:
- Camera: Required to take selfie profile photos, capture photos for chat messages, record videos for job site documentation, and photograph materials or blueprints.
- Photo Library: Required to attach existing photos and images to chat messages, project documents, daily reports, unit inspections, and your profile.
- Microphone: Required for recording voice messages in chats and direct messages, as well as recording video with audio for job site documentation.
- Location: Used to embed GPS coordinates, address, date, and time on photos uploaded through the Service for job site documentation. Location is also recorded when clocking in/out via Time Cards. The Service only accesses location when you actively perform these actions; it does not continuously track your location in the background.
- Push Notifications: Used to inform you about new chat messages, direct messages, task updates, company announcements, and other Service-related events. Also used for phone number verification during authentication. You can disable push notifications at any time through your device's Settings.
You can enable or disable these permissions at any time through your device's Settings. However, disabling them may limit your ability to use certain features of the app.
Image Processing
To optimize storage and upload performance, photographs uploaded through the Service (such as profile photos, chat images, and task attachments) may be automatically resized and compressed before being stored on our servers. Original full-resolution images are not retained once compression is applied.
3. How We Use Your Information
We use the information we collect for the following purposes:
- To provide, operate, and maintain the Service
- To authenticate your identity and manage your account
- To enable team collaboration and project management within your organization
- To facilitate real-time chat communication, including object chats, direct messages, and voice messages
- To process and manage subscriptions
- To send you important service-related notices and updates
- To deliver push notifications about messages, tasks, and company announcements
- To improve, personalize, and develop new features for the Service
- To detect, investigate, and prevent fraudulent or unauthorized activities
- To deliver company-wide announcements and notifications from your organization's administrators
- To process and respond to support tickets submitted through the Service
- To generate reports and data exports for project management purposes
4. Data Storage and Third-Party Services
We utilize industry-leading cloud infrastructure to securely store and process your data:
- Firebase Authentication: For secure user login and identity verification, including email/password and phone number (SMS) authentication (provided by Google).
- Cloud Firestore: For storing application data, messages, project metadata, and user profiles in real-time (provided by Google).
- Firebase Cloud Storage: For securely hosting user-uploaded media including images, voice messages, blueprints, videos, and PDF files (provided by Google).
- Firebase Cloud Messaging: For delivering push notifications about chat messages, direct messages, task updates, and other events (provided by Google).
- Firebase Cloud Functions: For executing secure server-side operations such as invite code processing and counter updates (provided by Google).
- Apple App Store / Google Play Store: For processing subscription payments. We do not directly collect or store any payment or credit card information.
- RevenueCat: For securely managing and validating cross-platform in-app subscriptions and purchase receipts.
These third-party service providers maintain their own privacy policies and security standards. We encourage you to review Google's, Apple's, and other providers' privacy policies for further information.
5. Data Sharing and Disclosure
We do not sell, rent, or trade your personal information to third parties. We may share your information only in the following circumstances:
- Within Your Organization: Your content, profile name, profile photo, and role are visible to other members of your company within the Sitex platform. Direct messages are visible only to the participants of the conversation.
- Platform Administration: Authorized platform administrators may access company data, including chat messages, direct messages, and project content, for the purpose of dispute resolution, policy enforcement, abuse investigation, and technical support. Such access is limited to what is necessary for the specific administrative purpose.
- Service Providers: We share data with third-party service providers (Google Firebase, Apple, RevenueCat) who assist us in operating the Service, subject to their own privacy policies.
- Legal Requirements: We may disclose your information if required to do so by law or in response to valid legal requests by public authorities.
- Safety: We may disclose information to protect the rights, property, or safety of our users or the public.
5a. Account Suspension
Company administrators and platform administrators may suspend ("block") user accounts. When an account is suspended, the user will be unable to log in to the Service. Your data remains stored during the suspension period. Company administrators can reinstate suspended accounts at any time.
6. Data Retention
We retain your personal information for as long as your account is active or as needed to provide you the Service. User-Generated Content created within the scope of your work belongs to your organization and may be retained within the Company's workspace even after your personal account is deleted. Pinned messages in chats may have automatic expiration periods set by team members.
7. Account Deletion
In accordance with Apple App Store and Google Play Store requirements, you have the right to delete your account at any time:
- How to Delete: Navigate to your Profile settings within the Sitex app and select "Delete Account."
- What is Deleted: Your personal profile, login credentials, and personal identifiers will be permanently removed from our active databases.
- Employer Data: Because Sitex is a B2B platform, User-Generated Content created within the scope of your employment (project photos, blueprints, chat messages, voice messages, material lists) belongs to your employer. This operational data may remain within the Company's workspace for compliance, audit, and project continuity purposes.
8. Data Security
We implement industry-standard technical and organizational security measures to protect your information, including:
- Encrypted data transmission (HTTPS/TLS)
- Firebase Security Rules for database access control
- Role-based access control within the application (Owner, Moderator, Foreman, Worker roles)
- Secure authentication via Firebase Authentication (email/password and phone/SMS)
- Server-side validation via Firebase Cloud Functions
However, no method of transmission over the Internet or electronic storage is 100% secure. While we strive to protect your personal information, we cannot guarantee its absolute security.
9. Children's Privacy
The Service is not intended for use by individuals under the age of 18. We do not knowingly collect personal information from children. If we become aware that a child under 18 has provided us with personal information, we will take steps to delete such information.
10. International Data Transfers
Your information may be transferred to and maintained on servers located outside of your state, province, country, or other governmental jurisdiction where data protection laws may differ. By using the Service, you consent to the transfer of your information to the United States and other countries where our cloud infrastructure providers operate.
11. Changes to This Privacy Policy
We may update this Privacy Policy from time to time. We will notify you of any material changes by posting the new Privacy Policy within the app and updating the "Last Updated" date. Your continued use of the Service after changes become effective constitutes acceptance of the revised policy.
